Manage access to Business Tax Account

Business Tax Account currently has two levels of access: Designated Officials with full access to account information and features and Designated Users with limited access.

A Business Tax Account can have multiple users assigned to each role. The available roles and features vary based on your business type.

Designated Official

A Designated Official (DO) must be all of these:

  • An officer (president, vice president, CEO, CFO, COO, secretary, treasurer) or managing member of the business or organization
  • A current employee who received a W-2 for the most recent tax filing year
  • Authorized to legally bind the business or entity

A DO can:

  • Access all account features and information
  • Act on behalf of the business or organization within Business Tax Account
  • Authorize one or more Designated Users to access the account
  • Remove another DO from the account

Assigning multiple DOs to a Business Tax Account can ensure continuity in the event of death or disassociation of the initial DO. Each DO must register separately.

Single-member LLCs (SMLLC): Currently, sole proprietors, corporate officers or managing members of an SMLLC cannot register as a DO. SMLLC access is planned for the future.

Annual revalidation

DOs must revalidate their role annually during the revalidation period (June 15 to July 29) to maintain access to Business Tax Account. You’ll see a reminder to revalidate when you sign into Business Tax Account during this time.

How to register as a Designated Official:

  1. Gather documents you’ve filed with us, including:
    • Employer Identification Number (EIN), found on your EIN confirmation letter (IRS Form CP 575) or your federal tax return.

    • The business or mailing address from the most recent IRS records
  2. Create account or sign in?to your existing Business Tax Account.
  3. Follow the steps to register as a DO.
  4. When you receive the PIN in the mail, return to your Business Tax Account to activate your DO role.

Designated User

Only a DO can appoint a Designated User (DU). A DO may appoint more than one DU to an account.

A DU must be both:

  • An individual with a Social Security number (SSN) or individual taxpayer ID number (ITIN). An EIN cannot be used to establish a DU role.
  • Assigned to the DU role by a Designated Official.

The DU 诲辞别蝉苍’迟 need to be a partner, shareholder or officer of the business or entity to qualify.

Individuals approved for the DU role can:

  • Access certain information
  • Use limited features

A DU 肠补苍’迟:

  • Manage access or revalidate other users
  • Authorize IVES requests
  • Set up payment plans

Semi-annual revalidation

A DU must be revalidated by a DO every January and June to maintain their role. Only DOs can revalidate a DU.

How to authorize a Designated User

A DO can authorize a DU with these steps:

  1. Sign in to Business Tax Account
  2. Go to “Manage Access”
  3. Enter the DU’s name and SSN or ITIN
  4. Select forms you want the DU to be able to access
  5. Select the tax period the DU will have access for
  6. Select Business Tax Account permissions for the DU
  7. Review, e-sign and submit

The DU must sign into Business Tax Account, review their access, and e-sign to accept or decline.
